Administrative Assistant - System Service Advisor

Essential Functions

  • Coordinate Rubber Goods “RG” storeroom activities to ensure all phases of the RG program effectively administered
  • Periodically perform inventory audits
    • Must have valid Texas driver’s license
  • Ensure proper functioning of the RG testing program
  • Perform RG inventory analysis
    • Monitor monthly RG inventory
    • Forecast RG requirements
    • Order RG to maintain proper inventory levels
  • Schedule RG change outs to meet OSHA requirements
  • Schedule Emergency Change Outs
    • Coordination of pick-ups & deliveries
  • Monitor and maintain technology systems (Maximo, Velocity and RGV)
  • Prepare yearly failure reports for visual or electrical failures
  • Monitor active and expired RG
  • Update RG Requirements Procedure document to ensure proper operation of the RG program
  • Prepare invoice distribution for specific vendors
  • Coordinate with RG supplier in all matters, including price adjustments, delivery schedules, lead times, etc.
  • Coordinate company luncheons and events
  • Coordinate and schedule meetings for work group
  • Assist in hurricane restoration efforts relating to RG
  • Perform basic administrative duties such as answering phones, faxing, copying, filing, mailing, archiving, relating to RG
  • Must become proficient in: Microsoft Office, FIM, Maximo, Velocity RGV and any other required systems
  • Understand all Policies and Procedures pertaining to RG including date restrictions
  • Must understand the importance of the RG program and the requirement to maintain the Safety Standards as required by OSHA
  • Provide support in the area of financial reporting as requested by districts
  • Maintain records of Tester NAIL Certifications
  • Other duties as required

Minimum Qualifications

  • High School Diploma or General Education Degree (GED). Technical college and/or college experience preferred
  • At least 3-5 years administrative assistant experience
  • Ability to type at least 50 wpm
  • Telephone management skills; excellent telephone etiquette
  • Must have experience with complex scheduling and calendar management
  • Intermediate to advanced knowledge in Microsoft Suite, especially Word, PowerPoint and Excel
  • Ability to navigate the Internet
  • Strong organizational, interpersonal and listening skills
  • Ability to think and communicate clearly and in context
  • High level of professionalism and confidentiality
  • Ability to work under pressure and thrive in a fast paced, deadline-oriented environment
  • Ability to prioritize and manage multiple projects simultaneously and complete them in a timely manner

Pay Range

$19/hr - $25/hr Plus Benefits
